OUR RENTAL PROCESS


This information is provided to ensure that we properly explain the obligations of renting a vacation property from Seaview Real estate, Inc.. It is our desire that you and your guests have a safe, enjoyable, and hassle-free experience. We thank you for your business and we look forward to seeing you soon!


 FINDING A VACATION HOME


To start the process, conduct a search from our home page, using any one of several search methods. Once you find a home or two that suits your needs, call to speak with one of our Rental Agents. We all work as a team, so anyone can help you. Each agent is licensed to practice real estate in Massachusetts and will explain the property details to make sure it is the right house for you. Please note you cannot reserve a property online yet.


Please consider the following when identifying a vacation home:


ACCOMMODATIONS: The properties we represent are private residences--decorated and furnished by individual owners--therefore each property is unique. Please ask as many questions about the specifics of a property as necessary, and view the photos that we have posted on the website.


OCCUPANCY: Occupancy (including small children, infants, and visitors) is not to exceed the limit cited on your lease, and must be initialed by you. Exceeding occupancy limits may result in additional charges, your damage protection coverage, and even being asked to vacate the premises.


Our policy is NO SMOKING and NO PETS, unless otherwise specified in the property listing details.


HOW THE LEASE WORKS


After making your reservation, we prepare and send you two copies of a lease. Please sign and initial all designated areas and return both copies of that lease, along with your payment.


Your lease will include Vacation ProtectorSM Insurance. You will need to OPT OUT on the lease if you DO NOT want this insurance protection product. If you OPT OUT of this you will need to decrease your first payment by the listed Insurance amount on your lease. See below under Vacation ProtectorSM Insurance for more details on this program.


If your rental is LESS THAN one month from the date we create the lease your entire payment is due in 5 days. Ask your Rental Agent about your method of payment as in some cases personal checks can’t be accepted. If your rental date is greater than one month away the payment policy is:


FIRST PAYMENT: This is due when we book the reservation for you.   It includes:


· 50% of the total rental amount


· A Reservation Fee of up to $35 (at our option)


· $55 Property Damage Protection Fee: In the majority of our rental homes a Property Damage Protection (PDP) Fee will be collected with the first payment. This is a nonrefundable fee and is administered by Access America®. It is a program that works for you to financially help with any accidents during your stay. See below under Damage Protection for more details on the PDP Fee. Please note some homes will not have this fee and instead will have the traditional refundable Security Deposit.


· Vacation ProtectorSM Cancellation Insurance if you do not OPT OUT


 


SECOND PAYMENT: The remaining 50% of the rental amount along with a Refundable Security Deposit of $500 if you didn't pay the Property Damage Protection Fee with the FIRST PAYMENT and a cleaning fee of $125.


Please note, if your rental is less than one month from the date we create the lease your entire payment is due in 10 days and there is no second payment.


In addition to all major credit cards we also accept cash, personal checks, bank checks, and money orders.   We’re working on PayPal but do not have it at this time.


We will be in touch as your stay on Cape Cod approaches. You can expect us to provide you with check-in details, linen rentals, directions, and partner information to make your vacation as enjoyable as possible.


 DAMAGE PROTECTION


Each reservation has some form of damage protection. Its purpose is to protect the property, and its contents, from damages, theft, and financial charges. There are two forms of protection:


REFUNDABLE SECURITY DEPOSIT: Security Deposit checks are cashed and deposited in a non-interest bearing escrow account as required by law. It is our policy to mail your Security Deposit to you seven days after your departure date when we have been able to verify  that there were no violations of the terms of the lease, no missing items, damages, excessive cleaning required after check-out, or additional telephone or cable charges incurred.


NONREFUNDABLE PROPERTY DAMAGE PROTECTOR (PDP): Seaview Real estate, Inc. requires in most homes the purchasing a PDP for $55, administered by Access America®, in lieu of paying a refundable Security Deposit when reserving a home. Property Damage Protector provides up to $3,000 to pay for losses due to theft or accidental damage to the property you are renting.


Originally called "piece of mind" protection, you can enjoy your stay and receive more damage protection at a significantly less upfront cost than the refundable Security Deposit. The PDP is valid for the entire stay and a Certificate of Insurance/Policy with exclusions, conditions, and limitations that may apply will be sent out to you upon purchase.


 PROPERTY DAMAGE PROTECTOR DOES NOT COVER:


1. Intentional acts of a guest and traveling companions;


2. Gross negligence or willful conduct;


3. Any loss, if a guest or traveling companions do not take reasonable and prudent measures to protect the residence;


4. Any loss, if the guest does not report the damage to Seaview Real estate, Inc. staff by the time of vacating the residence;


5. Normal wear and tear;


6. Theft without forced entry;


7. Damage or loss caused by any pet or other animal allowed onto the premises by a guest or traveling companions.

 


CANCELLATION POLICY


 Notice of Cancellation must be in writing and reported to us. Monies received will be refunded only if the premises are rebooked by owner/broker for the same reservation period and same rental amount, less 20% of the total rental fee due to broker. NO MONIES will be refunded if the property cannot be rebooked. THERE ARE NO REFUNDS FOR CANCELLATIONS THAT ARE LESS THAN 30 DAYS prior to arrival and NO REFUNDS if there is payment outstanding. You are responsible for the entire contracted amount of the rental. For Vacation ProtectorSM Insurance please contact Access America directly at 1-800-310-2431.


ADDITIONAL PROVISIONS


Information posted for each listing is supplied by the homeowner and as such is deemed reliable but not guaranteed; details and rates are subject to change at any time and Seaview Real estate, Inc. can not be held responsible for any deviation in the listing information. There will be no refunds or adjustments for malfunctioning appliances or equipment; Seaview Real estate, Inc. will make every effort to have appliances/equipment repaired as soon as possible.


CHECK-IN PROCEDURES


Check-In is between 3:00 p.m. and 5:00 p.m. If you will be arriving later than 5:00 pm please call us to make special arrangements to pick up your keys and rental information; if for any reason you are not paid in full including and you arrive after hours, the keys will not be left out for you. Please bring photo ID to check-in; refer to the instructions sent with your leases for the appropriate office for check-in.


CHECK-OUT REQUIREMENTS


Additional information will be provided to you at Check-In. In general we ask the following:


· Please perform basic cleaning (e.g. broom swept floors and vacuumed carpets, all countertops wiped down, refrigerator emptied). If you have any questions or concerns please ask.


· Please return your keys to our office, not in the home unless told otherwise.


· Please comply with the 10:00 AM check-out time. Please be considerate of the cleaner's schedule and the incoming tenants.


 Noncompliance with our Check-Out Requirements may impact your ability to make future reservations and/or impact the return of all or a portion of your refundable Security Deposit


Please note: Seaview Real estate, Inc. is not responsible for lost, stolen or forgotten items. In some cases we do ask you pay for the shipping costs to return your items.


VACATION PROTECTORSM INSURANCE


Access America® Vacation ProtectorSM provides protection against the loss of your vacation deposit or payments if unforeseen circumstances cause you to cancel or postpone your trip.


WHY VACATION PROTECTOR?


Think about the possibility of not being able to go on vacation, or having to cut your trip short for some reason. It's not a pleasant thought but neither is putting a significant amount of money in jeopardy. Access America's Vacation Protector has been specifically designed to protect most travel-related losses, stepping in where other insurance benefits leave off.


When you purchase Vacation Protector, your vacation deposit and nonrefundable fees are protected if your trip is cancelled, interrupted or postponed for a covered reason. You and your traveling companions will also be covered for travel delays, baggage delays, and baggage theft and damage as well as emergency medical situations.*


Here are a few examples:**


·                     Your spouse becomes ill a few days before departure and you must cancel the trip.


·                     A member of your family back home passes away while you are away forcing you to cut your trip short.


·                     You lose your job shortly before departure and must cancel your trip.


·                     You arrive by air but your bags do not.

Description of Benefits: A description of benefits and coverage and Access America's customer contact information can be accessed by What follows is a brief description of the travel benefits provided to you and your eligible traveling companions under this program.


Trip Cancellation/Interruption : Trip Cancellation/ Interruption coverage provides financial protection for expenses related to trip cancellation or interruption caused by a covered reason, including job loss, injury, illness and a traffic accident. Trip Cancellation coverage provides reimbursement for prepaid, nonrefundable expenses, like vacation deposits. Trip Interruption coverage offers reimbursement for the unused, non-refundable portion of the trip and any increased transportation costs to return home due to a covered reason.*


Emergency Medical Transportation: In the event of injury or illness, the coverage will pay for emergency medical transportation services*, which are required to move you to the nearest appropriate healthcare facility, as well as pay for your return trip home.


Travel Delay: Provides coverage on a one-time basis for reasonable additional accommodations and traveling expenses incurred* due to a covered delay of at least six hours.


Personal Effects/Baggage Coverage: Provides benefits for loss, damage or theft of your baggage and personal effects*, provided you've taken all reasonable measures to protect, save and recover the property.


Personal Effects/Baggage Delay: Provides reimbursement for your expenses if your luggage doesn't arrive when you do and the bags are not located for 24 hours.*


Vehicle Return: Provides transportation for your automobile back to your primary residence should you become ill/injured and unable to drive.*


Roadside Assistance: Provides 24-Hour Emergency Towing, assistance with flat tires, gas, battery jumpstart and winching.*


24-hour Travel Assistance: Our Customer Service Associates are always available. They can help provide travel and emergency assistance for common travel incidents -- from medical emergencies to legal referrals and travel planning.


Pre-existing Conditions Exclusion: The program does not cover losses or expenses if they result from any injury, occurring prior to and including the effective date of this insurance, or any illness, occurring during the 120 days prior to and including the effective date of this insurance for which treatment by a licensed physician has been sought or advised or for which symptoms exist which would cause a prudent person to seek diagnosis, care or treatment.


Pre-existing Conditions Exclusion Waiver: If you purchase your policy within 21 days of the initial trip deposit, purchase enough insurance to cover the full cost of all trip arrangements, are medically able to travel at the time of insurance purchase, and have not filed a claim for trip cancellation due to a pre-existing illness within 120 days of the effective date of this insurance, we will waive the Pre-existing Conditions Exclusion. This waiver is available for trips costing $10,000 or less.


Satisfaction Guarantee: Within 10 days of your payment being received (i.e. purchasing the program) and you aren't satisfied Access America will process a full refund of premium (the amount you paid for insurance) as long as you have not already departed on your trip or filed a claim. No refunds shall be paid to you after 10 days of purchasing the program.

Insurance coverage is provided under a Master Policy Form No. 52.201 or 52.401 issued by BCS Insurance Company. Coverage for these benefits is limited to a trip of 120 days or less; hurricane coverage applies beyond 120 days as long as you continue to rent the property. For a complete description, including the exclusions, conditions and limitations that apply, please see the Certificate of Insurance/Policy.
